Getting Started with the TINA App

The TINA app is designed to streamline the management of your therapy practice, from client intake to invoicing. Here’s a simple, straightforward guide to help you navigate the app after your initial login. Whether you’re setting up your profile or scheduling client appointments, TINA has you covered.

Setting Up Your Profile

  1. Access Settings: Click on your avatar icon in the bottom left corner, then select “Settings.”
  2. Update Personal and Organization Details: Enter your personal information. If you’re an organization super-admin, fill out the organization details as well.
  3. Configure Invoicing: If you’re a taxpayer needing to fiscalize invoices, fill out the invoicing settings. Remember to upload the necessary certificate to enable client invoicing.

Managing Contacts

  1. Adding New Contacts: Navigate to ‘Contacts,’ then click ‘Add contact’ in the top right corner.
  2. Setting Contact Type: A popup will appear where you can label the new entry as a client or a different type of contact like a coworker, assistant, or partner. You can create a new label directly in the popup if needed.
  3. Entering Contact Information: After selecting the appropriate label, fill in all required personal information, and client history, and answer any business analytic questions.
  4. Adding Anamnesis: If the contact is a client, you can add anamnesis by opening the client file through the contact list.

Creating Pricelists

  1. Navigate to Pricing: Select ‘Payment’ > ‘Pricelist’ from the menu.
  2. Add Services: Click ‘Add new’ to open a popup where you’ll enter the service name, duration (in minutes), price, and applicable tax.
  3. Finalize Your Pricelist: Once your services are listed, you’re ready to link these to your clients.

Scheduling Appointments

  1. Open the Calendar: Choose ‘Calendar’ from the navigation to view it monthly or weekly.
  2. Book Appointments: Click on a date to add a new appointment. Select the client, service, time slot, and notification settings in the popup. You can set up notifications to send via SMS or email before and on the day of the appointment.

Post-Appointment and Invoicing

  1. Create Therapy Notes: Post-appointment, go to the client’s file and select ‘therapy notes’ to view all sessions. Appointments without notes will appear with a white dashed border. Click ‘Create therapy notes’ to add summaries, transcriptions, client emotions, progress, and set goals.
  2. Issue Invoices: Navigate to ‘Payment’ in the client’s file to preview and create invoices. Decide if you want to fiscalize the invoice and whether it should be emailed to the client or an accountant.

Managing Payments

  1. Payment Overview: The ‘Payment’ tab lets you view all paid and pending invoices. Mark invoices as paid upon receiving payment.
  2. Deleting Invoices: You can delete invoices if needed, though fiscalized invoices can only be canceled, not completely removed.

The controller, the company Centrum cognitio d.o.o., undertakes to process and protect the data in accordance with the Personal Data Protection Act and the provisions of Regulation (EU) 2016/679 of the European Parliament and of the Council.

We use the MailChimp marketing platform for the purposes of electronic notification. By registering or filling out the form, you agree that we manage your data under the above conditions and that the information you provide us is simultaneously transmitted to MailChimp, which provides us with this service. The company Centrum cognitio d.o.o. will ensure that MailChimp provides the same level of protection of personal data as required by local and European legislation, in particular by signing EU standard contractual clauses, unless otherwise specified in individual cases.
